Important Note About the November 10 Migration

Starting November 10, 2026, all accounts will automatically move to the updated experience for every feature listed in this article. The option to switch back to the classic experience will be removed. No action is needed to migrate — the transition happens automatically.

AP Center

The AP Center is moving to an updated hub experience. The updated AP Center replaces the classic AP navigation with a centralized daily workspace. A new Launchpad provides quick-access tiles for common AP actions. A Workflows panel organizes open AP work across six categories in a single view. Smart Apply automates credit memo application to open invoices, reducing manual steps in the AP workflow.

AP Center’s New Look

The AP Center has a new look to match R365’s latest designs.

Legacy AP Center

Launchpad

The updated AP Center opens to a hub layout anchored by the Launchpad — a set of quick-action tiles for common AP tasks such as creating invoices, initiating payment runs, and reviewing open items. The Launchpad gives AP staff a consistent starting point for daily work without navigating through individual menu items. Previously, AP actions were accessed through separate pages in the left navigation menu with no centralized hub.

New Launchpad

Legacy experience — The Launchpad did not exist in the legacy AP Center experience.

Workflows Panel

The updated AP Center includes a Workflows panel that organizes open AP work into six tabs: Upcoming Drafts, Pending Invoices, Credit Memos, Ready to Pay, Payment Runs, and Unmatched Payments. Each tab displays the relevant records in a grid, allowing AP staff to review and act on open items across all AP categories from a single panel. Previously, reviewing each category of open AP work required navigating to its own page.

Legacy experience — The Workflows panel did not exist in the legacy AP center.

Smart Apply

Smart Apply is a feature in the updated AP Center that automatically matches and applies available credit memos to open AP invoices for the same vendor. When Smart Apply runs, it reviews all unapplied credit memos and open invoices and applies credits where a vendor match exists. Previously, applying a credit memo to an open invoice required manually selecting and applying the credit on each record individually.

Legacy experience — Smart Apply did not exist in the legacy AP Center.

AP Transactions Page

The AP Transactions page is moving to an updated design. The updated AP Transactions page brings a modernized interface consistent with other updated pages across R365. The Memorized AP Transactions grid — previously a separate page — is now a tab directly on the AP Transactions page, so both grids are available in one location.

Updated Design and User Interface

The AP Transactions page has been redesigned with R365's updated design. The grid layout, column controls, filtering, sorting, and row actions have all been updated to match the look and behavior of other modernized pages in R365. Toolbar controls, grid actions, and column management follow the same patterns used across the updated AP module.

Memorized AP Transactions Grid → Tab

The Memorized AP Transactions grid was previously available from a separate page in R365. It is now a tab on the AP Transactions page, accessible from the tab bar at the top of the page. Both the AP Transactions and Memorized AP Transactions grids are available from the same location — no separate navigation is needed.

Legacy experience

Previously the Memorized AP transactions page was its own page separate from the AP transactions grid.

AP Invoice Record

The AP Invoice record is moving to an updated design. The updated AP Invoice record consolidates what were previously two separate forms — one for accounting AP invoices and one for inventory AP invoices — into a single unified record.

Updated Design and Unified AP Invoice Form

The AP Invoice record has been redesigned with R365's updated design. The layout, field organization, toolbar, and action menus have all been updated to match the look and behavior of other modernized pages in R365. Additionally, the updated record combines both into a single unified form.

The classic experience had two separate AP Invoice forms — one for accounting AP invoices and one for inventory AP invoices.  Accounting and inventory AP invoices are now created and edited in the same record regardless of invoice type.

Alerts Tab

In addition to in-line alerts, an Alerts tab appears on the AP invoice when there are system alerts for any items. The Alerts tab is filtered to only items that have an alert on them. While an alerts tab appeared on the inventory invoice, the accounting invoice only showed in-line alerts.

New Alerts tab

Legacy Alerts — The legacy accounting invoice did not have an alerts tab. Only in-line alerts.

Document Issues Tab

The updated AP invoice record includes a Document Issues tab. The tab surfaces validation alerts and data issues directly on the record so problems are visible without navigating elsewhere or waiting for a processing error to appear. Users can also add any document issues from this tab.

AP Credit Memo Record

The AP Credit Memo record is moving to an updated design. The updated AP Credit Memo record brings a modernized interface along with several experience improvements: a new Document Issues tab, inline alerts in the Line Items grid, an updated Attachments panel, built-in duplicate invoice number detection, and a new Unvoid action.

Updated Design and Unified Record

The AP Credit Memo record has been redesigned with R365's updated design. The layout, field organization, toolbar, and action menus have all been updated to match the look and behavior of other modernized pages in R365. The Distribution and Spread tabs remain available for accounting users. Additionally, this record is now the same across Accounting and Inventory app. Previously, these were two different records.

Inline Line Items Alerts

The Line Items grid on the updated AP Credit Memo record displays inline alerts directly on affected rows. When a line item has a validation issue or requires attention, an alert indicator appears on that row. Previously, line item issues required navigating away from the record to identify which lines were affected.

Vendor Record

The Vendor record is moving to an updated design. The updated Vendor record brings a modernized interface and several experience improvements: the GL Accounts section is now visible to all accounts, a new Available Credit card appears in Account Overview, a new read-only Attachments section is included, the Contacts section has updated field names, vendor creation from AP screens now opens the new Vendor form in place, and a prompt appears when closing a record with unsaved edits.

Updated Design and User Interface

The Vendor record has been redesigned with R365's updated design. The layout, field organization, navigation within the record, and action menus have all been updated to match the look and behavior of other modernized pages in R365.

GL Accounts Section Now Visible to All Accounts

The GL Accounts section on the Vendor record is now visible to all R365 accounts. Previously, the GL Accounts section was available only to accounts that had it enabled through an opt-in setting. No configuration is required — the section appears on the updated Vendor record for all accounts by default.

New Account Overview and Available Credit Info

A new Account Overview section overviews the key financial metrics for the vendor.  A card displaying Available Credit appears in the Account Overview section of the updated Vendor record when the vendor has at least one unapplied credit memo. The card displays the total credit available for the vendor, making it easy to see outstanding credits before entering a new AP transaction. The card does not appear if no unapplied credit memos exist for the vendor.

Legacy Experience - There was no Account overview in the legacy vendor record.

Creating Vendors From AP Screens

When a new vendor is created from an AP screen — such as an AP Invoice, AP Credit Memo, AP Payment, Bank Expense, Mass Invoice Entry, or Vendor Item record — the updated Vendor form now opens in place within that screen. Previously, creating a vendor from an AP screen opened the classic Vendor window as a separate modal. The new Vendor form opens inline, and saving the new vendor returns focus to the originating AP screen automatically.

Create Vendor from Field

Contacts Section Field Names

The Contacts section on the updated Vendor record includes updated field names. The Phone field has been renamed Mobile Phone, and a new Business Phone field has been added. Any data previously entered in the Phone field is displayed in the Mobile Phone field — no data migration is needed.

Payment Run Form

The Payment Run form is moving to an updated design. The updated form includes a reorganized layout with a collapsible Info Panel and a full-width transactions grid. Additional updates include server-side filtering, a delete option for draft and unapproved runs, post-payment actions in the form header, a Workflow tab for approval-enabled clients, saved views on the transaction grid, a new option to start another payment run after payments are created, a renamed Save as copy action, and a warning dialog when printing checks with large remittance stubs.

Updated Design and User Interface

The updated Payment Run form opens as a full-screen view built around the transactions grid. A collapsible Info Panel on the right side of the form displays payment run configuration details — bank account, legal entity, location, and run settings. A GL Balance health bar appears above the transactions grid and shows the current GL Balance at a glance. Previously, the classic form displayed configuration fields and the invoice list in a less space-efficient layout without a GL Balance indicator.

New Create Payment Run Experience

Legacy Payment Run

Grid Views and Filtering

Filters and search on the updated Payment Run form apply server-side across the full invoice dataset. In the classic form, filters applied only to the rows currently loaded on screen — invoices not yet loaded were excluded from filter results. The updated form returns accurate results across all invoices regardless of how many rows have been loaded. Views can then be saved as needed to easily navigate to filtered views of the grid.

New Transactions Grid with Views and Filtering

Delete Draft and Unapproved Runs

AP users can now delete Payment Runs in Draft or Unapproved status directly from the form's action menu. Previously, deleting a draft or unapproved run required contacting support. The Delete option appears in the action menu on the updated form for runs in these statuses.

Delete Option

Legacy Experience - There was no option for users to delete a payment run.

Post-Payment Actions in the Form Header

After payments are created on the updated Payment Run form, post-payment actions appear as a split button in the form header. Available actions include Print Check, Email ACH Stubs, Export ACH, Send R365 Payments, Export Positive Pay, and Print Payment Summary. Only actions that apply to the specific payment run are displayed — actions not relevant to the run's payment methods are omitted. Previously, post-payment actions required navigating outside the form to complete.

Note

The split button's label reflects the first eligible action for the specific run. The label may vary depending on payment methods included and the user's permissions. Print Payment Summary is always available after payments are created.

Legacy Pop Up

Large Remittance Warning

When printing a check for a payment run that includes 16 or more invoices, a warning dialog now appears before printing. The dialog offers three options: close the dialog without printing, download the full remittance, or continue to print. This warning prevents printing a check whose remittance stub would be truncated due to the number of invoices. Previously, no warning appeared, and checks with large remittance stubs printed without notification.
