This article covers the new Smart Ops Unit of Measure form.

Units of Measure are used throughout Restaurant365 for Inventory, Purchased/Vendor Items, Recipe Costing, Commissary Items, and Catering Item tracking. Units of Measure (U of M) are completely customizable, and organizations can have as many or as few as needed. There are three Measure Types that all other U of Ms must be equated to either directly or indirectly. These three Measure Types are:

  • Volume

    • Measure Type = OZ-fl

    • Examples: OZ-fl, Cup, Gallon, Quart

  • Weight

    • Measure Type = OZ-wt

    • Examples: OZ-wt, LB, KG, Pound

  • Each

    • Measure Type = Each

    • Examples: Each, Can, Tub, Box, Case

Unit of Measure setup is extremely important because it will determine how much is actually put into an inventory based on which U of M used. Therefore, being as specific as possible is crucial in making sure counts are consistent and correct across different Locations.


Building Units of Measure

Units of Measure must be equated back to one of the three Measure Types listed above. This can occur directly or with the use of other U of Ms to indirectly equate the U of M back to a Measure Type.

It is important to be as descriptive as possible in the naming of Units of Measure so that inventory items are reflected correctly in inventory. For example, the purchase of 100 oysters from a seafood Vendor would require Users to add this item to an AP Invoice using the 'Case' U of M; however, the 'Case' U of M is already defined as equal to 1 Each, causing 1 oyster to be added to inventory. Using a more specific U of M, such as 'Case - 100/Each', would define it as equal to 100 Each and would ensure that all 100 oysters are added to the inventory.

1) Direct Method:

  • U of M name = 'Case - 4 PKG (5 LB)'

    • It is recommended that U of M names be as descriptive as possible to avoid any potential confusion

  • Equivalent U of M = OZ-wt

    • The Equivalent U of M is set to the Measure Type of 'OZ-wt'

  • Equivalent Quantity = 320

    • 4 * 5 = 20 Pounds. 20 * 16 (16 OZ-wt in 1 Pound) = 320 OZ-wt

2) Indirect Method:

  • U of M name = 'Case - 4 PKG (5 LB)'

    • It is recommended that U of M names be as descriptive as possible to avoid any potential confusion

  • Equivalent U of M = Pound

    • The Equivalent U of M is set to an additional U of M named 'Pound'

  • Equivalent Quantity = 20

    • 4 * 5 = 20 Pound

  • U of M name = Pound

    • It is recommended that U of M names be as descriptive as possible to avoid any potential confusion

  • Equivalent U of M = OZ-wt

    • The Equivalent U of M is set to the Measure Type of 'OZ-wt'

  • Equivalent Quantity = 16

    • There are 16 OZ-wt in 1 Pound

How to Create a U of M

First navigate to Smart Ops. From the left navigation menu, click 'Units of Measure' under 'Food Admin' to open the Units of Measure page

From the Units of Measure page, click the '+Create' button to create a new U of M. 


U of M Record

  1. Equivalent Qty - The value in this field is directly correlated with the value in the Equiv U of M field and describes the quantity of our Equivalent U of M in our New U of M. Using our previous example we had an Equivalent Qty of '4'. That told the system that there are '4' 'Bottle - 750 ML' in our new U of M of 'Case - 4/750 ML'.   2. Equivalent UofM - To create a new U of M, it must have an Equivalent U of M that already exists in the system. As OZ-wt, OZ-fl, and Each are a Measure Type, many U of Ms will be equated back to one of these three. Users can equate U of Ms to other U of Ms created. For example: Name = 'Case - 4/750 ML', Equiv U of M = 'Bottle - 750 ML', Equivalent Qty = '4'. As 'Bottle - 750 ML' would have already been created and equated back to OZ-fl, the system can calculate how many OZ-fl there are in our new U of M 'Case - 4/750 ML'.   3. Name - Enter the name of the U of M as it will be displayed throughout the system (i.e., when selecting the U of M on transactions or when viewing reports). This is a required field.

  4. UofM Equation Description - The description of the equation entered. This will automatically update as fields 1, 2, and 3 are entered

  5. Purchase UofM Checkbox - The Purchase UofM checkbox indicates whether the U of M will be available in AP Invoices, Credit Memos, Vendor Items or Commissary. For U of Ms not needed in for Purchasing, Users can uncheck this box

    By default, the Purchase UofM checkbox is checked

  6. Recipe UofM Checkbox - The Recipe UofM checkbox indicates whether the U of M is available for use in Recipes. When this box is checked, the U of M will be available in ingredient pickers. For U of Ms that are not used in Recipes, Users can leave this box unchecked

    By default, the Recipe UofM checkbox is unchecked

  7. Active Checkbox- This checkbox indicates whether the U of M is active in the system. When this box is unchecked, the UofM is not accessible from any forms

    By default, U of Ms are marked as 'Active,' and the checkbox is checked 

  8. 'Items On' Section- Once this U of M has been assigned on Purchased Items, Vendor Items and Recipes to view which Items this U of M is 'on', or rather has been assigned to, they will be listed here, including the following information:

    • Name of the Item On

    • Information Field that this U of M Appears

    • Type of Item (Purchased Item, Unit of Measure, Item Location, etc.)
       

  9. Save - Click to save the UofM. Once saved, the UofM will be available in UofM field selectors. Users can click the Save dropdown to access the 'Save & Create Another' option. When clicked, 'Save & Create Another' will save the current UofM record and promptly open a new UofM for more efficient UofM creation

  10. U of M Form Actions- From here, the following actions can be taken:

    •  - Click to delete the Unit of Measure

      This will only appear in existing Units of Measure

    •   - Click to open the R365 Support Center or R365 Academy for more help

    •   - Click to view the Unit of Measure form in the entire browser screen

    •   - Click to close the Unit of Measure form
