Submitting Smart Safe Deposits

As of October 2024, R365 can integrate with the following Smart Safe companies:

Users can currently submit deposits via their Brinks or Loomis accounts.  After submitting a deposit, users can view deposit totals on the R365 DSS and view deposit statuses in R365 using the Manual Repoll function. Users can also view deposit statuses in their smart safe customer portal.


Submitting a Deposit

Currently, deposits are submitted via the smart safe company website. Users must first login to their Brinks or Loomis customer accounts using their customer credentials.

The deposit submission process may look like the following:

  1. Navigate to the Deposits page.

  2. Locate and select the option that allows users to create a new deposit. This will open a new deposit screen.

  3. Some fields may be auto-filled based on information pulled from the user login or R365 POS information. However, users will need to complete the deposit as required by the smart safe company.

    Users may encounter any of the following fields:

    • Prepared By - The name of the user that is completing and submitting the deposit.

    • Deposit Total- The total value of the cash being deposited.

    • Bag Barcode Number/Confirm Bag Barcode Number - The barcode associated with the deposit bag being used.

    • Bills - The quantity or total value of each bill type in the deposit.

    • Coins - The quantity or total value of each coin type in the deposit.
       

  4. Review the deposit information.

  5. Submit the deposit. Users will be notified that a deposit has been created.

  6. Users can then proceed to deposit the physical cash into the smart safe, where it will remain until pick up.

Track Deposits

At any point after submitting the a smart safe deposit, users can review the status of the deposit within R365 by using the Manual Repoll function to manually pull Deposit Data. Read more about manually pulling deposit data, click here.

Brinks and Loomis will also update a deposit status as it changes. To view this users must log in to their smart safe customer account on the correct site.

Deposit Statuses

Users may see any of the following deposit statuses:

Status

Description

Prepared

The deposit has been prepared and registered with the smart safe company.

In Progress

The deposit has been dropped and is awaiting pick-up OR the deposit has been picked up and is awaiting settlement.

Sent to Credit

Credit for the cash has been dropped into the deposit box.

Verified

The deposit has been processed, completed, and verified by the smart safe company.
