Create a Credit Memo

AP Credit Memo records are created on the AP Credit Memo record. For a description of the fields on the record, see AP Credit Memo Form Details.


Security

Users must have one of the following permission(s) to create an AP credit memo:

Accounting:

  • Accounts Payable → AP Credit Memos → Create AP Credit Memos

Inventory:

  • Food → AP Credit Memo → Create AP Credit Memos

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Create from Top Ribbon

Follow these steps to create a credit memo using the Create button in the top ribbon:

1) Click the Create button in the top ribbon.

2) Under Vendor, locate and click Credit memo.

3) Complete the required fields.

Note About Available Fields

The AP Credit Memo form fields, buttons, and labels, are determined by:

  • Inventory / Accounting access

  • User permissions

  • Vendor selection and setup

Not all fields, buttons, and labels shown below will be visible to all users.

4) Add line items on the Line items tab. Click Add line for each line.

5) Click a Save option or an Approve option to skip straight to approval.

Some users—those that have the Complete AP Credit Memo permission—will have the Complete button, which locks a credit memo from editing while pending approval. The complete button will appear once it has been saved.


Create From AP Transaction or Invoices

Follow these steps to create a credit memo from either the AP Transactions page or the Invoices page:

1) Navigate to either the AP Transactions page (Accounting) or the Invoices page (Inventory).

2) Click Create, then AP credit memo or Credit memo.

3) Complete the required fields.
