Menu item records are automatically created once the POS integration has been completed. R365 will automatically import each menu item that appears in your POS. Similar to the relationship between Employees and POS Employees, a menu item and a POS item will be created for each menu item that appears on each POS that is integrated with R365.

  • Menu Items - Allows the user to set the details for each menu item including: Display Name, Estimated Cost, Price, Target Margin, etc.

  • POS Item Links - Allows the user to link together more than one menu item. This is especially helpful when a menu item has a different name (in the POS) at each location.

When POS System-Level Matching is enabled, POS item records are scoped to individual POS systems. However, multiple POS systems can each have their own POS item record that links to the same Menu Item in R365, preserving cross-system menu item associations for multi-POS reporting and recipe depletion.

Navigation Steps

  1. Open the Sales & Forecasting application.

  2. Expand Menu Items.

  3. Select Menu Items.

Search

Navigate to pages with the R365 global search bar:

  1. Enter all or part of the page name in the R365 global search bar.

  2. Select the page from the results list.

Only enabled pages can be searched for. If the desired page is not enabled, contact your CSM for assistance.

Menu

Opens the page menu options including:

  • Classic View Toggle - Turns the classic table view of the table on or off.

    • When toggled off, the menu items list will display in the updated tabled view as pictured below.

    • When toggled on, the table will display in classic view, as pictured above.

Menu Items Table

Names of columns are listed in this row. The columns pull the information from the menu item record. See below for more column information.

Name

The menu item name, as it appears in your POS system, will be populated in this field.

Recipe

The recipe item that will be directly associated with this menu item. Linking recipes and menu items allows you to calculate theoretical usage and quantity on hand.

POS Menu ID

The menu ID within the point of sales system.

Barcode

The barcode for the item.

PLU

The PLU or price look up code of the item.

SKU

The SKU or stock keeping unit code of the item.

Entree Indicator

Select Yes if the menu item is an entree. This will allow for filtering on various Reports and on the menu item list.

Target Profit %

The target profit % for the menu item. Informational only.

Estimated Cost

The estimated cost for the menu item. Informational only.

Estimated Price

The estimated price for the menu item. Informational only.

Menu Item Categories

Create and assign Menu Item Categories 1 through 3 to categorize and group menu items. Menu item categories are very useful in performing reports on menu items. Click here for more information on Menu Item Categories

Menu item categories are different from item categories.

R365 Best Practice

For users that want to keep their Menu Item list in order, R365 recommends using the Menu Item Categories and creating a saved view for the menu item list.

Users can set the filters to only include the categories that they want to see, or specifically exclude the categories they do not want to see, such as 'NOT MENU ITEM'.


FAQ

What's the difference between Menu Item Categories and Item Categories?

They're separate features that should be structured differently. Menu Item Categories group menu items (up to three levels) for sales-side reporting and entree forecasting, while Item Categories group purchased items for cost accounting and inventory tracking. What happens if a menu item doesn't have a recipe linked to it?

An unmapped menu item shows a blank Recipe field on the menu item record, and its theoretical usage can't be calculated or tracked until a recipe is linked. Unmapped items can still be analyzed on the Menu Item Analysis and Menu Price Analysis reports, but not for theoretical usage. What does the Classic View Toggle actually do on the Menu Items page?

It switches the Menu Items table between the newer default table view and the older "classic" table layout. Toggling it off shows the updated view; toggling it on shows the classic view. It only changes how the table displays — it doesn't affect the underlying menu item data. If you're unsure which view your team should use, check with your admin, since this is a display preference rather than a data setting.

Can more than one POS system link to the same menu item in R365?

Yes. When POS System-Level Matching is enabled, each POS system keeps its own separate POS item record, but multiple POS systems can each link to the same underlying Menu Item in R365. This preserves consistent recipe depletion and cross-system reporting even though the item names may differ by POS. Related: Menu Items and POS Item Links.

Are Estimated Cost, Estimated Price, and Target Profit % used in any calculations?

No. These three fields on the menu item record are informational only — they don't drive costing, pricing, or margin calculations elsewhere in R365. For actual cost tracking tied to real usage, link a recipe to the menu item; see Mapping Recipes to Menu Items.
