When automatic journal entry updates for APS are not enabled, payroll totals must be exported manually from APS Payroll by selecting ‘Send to R365 Accounting’. The exported payroll data must then be imported into R365 to create the journal entries.
APS payroll batches generate two CSV exports used to post payroll activity in R365.
The Payroll Reversal file is imported as a payroll journal entry to true up POS labor accruals. (APS Step - 1 file)
The Banking Journal Entry file is imported as a standard journal entry to record payroll cash and bank activity. (APS Step - 2 file)
Unscheduled payroll batches do not have a matching estimated payroll journal entry in R365. To keep payroll totals accurate, they must be recorded manually as standard journal entries.
Required Export Inputs in APS
To export the payroll reversal and banking journal entry files from APS Payroll, run the Restaurant365 GL export with the following values:
Payroll check date
Payroll Liability GL account that matches Restaurant365
JE Location that matches the header location in Restaurant365

Before importing payroll journal entry files into Restaurant365 (R365), review and update the files as needed to ensure accurate journal behavior.
Payroll Reversal File (APS Step - 1 file)
Before importing the payroll reversal file, add a Type column immediately after the JE Number column. This allows R365 to apply the correct journal behavior.
Unscheduled Payroll Batches
Before importing files associated with an unscheduled payroll batch, confirm that the payroll start and end dates are correct. Files exported from APS Payroll may not contain accurate payroll dates for unscheduled batches.
Banking Journal Entry File (APS Step - 2 file)
The Banking Journal Entry file (Step 2) does not require any adjustments before import.
Importing to R365
The payroll reversal and banking journal entry files are imported into Restaurant365 using the Journal Entry Import tool.
Payroll Reversal
Import the payroll reversal file as a payroll journal entry.
When importing the file:
Check Payroll Journal Entry.
Set the Payroll Start Date and Payroll End Date for the pay period of the import.
Banking Journal Entry & Unscheduled Payroll Batch Entry
Import banking journal entry and unscheduled payroll batch files as standard journal entries.
When importing the file, ensure that Payroll Journal Entry is unchecked.
