To set up a new legal entity with R365 Payments, complete the verification form at https://restaurant365.meow.com/. This form checks the validity of the business, legal entity, and the legal identity of the person completing the form. This process, known as Know Your Business (KYB) is a crucial step in modern fraud prevention practices.


What Is Know Your Business (KYB)?

Know Your Business (KYB) is the process of verifying the legality of businesses and the people who manage them. 

By practicing good Know Your Business (KYB) strategies, R365 ensures that every organization we work with is legal, legitimate, and trusted, which helps protect R365 and our customers from potential fraud and money-laundering schemes.

All fintech (financial technology) companies are required by law to perform KYB checks, but it's smart for any business to do so to prevent fraud.

KYB can often be tricky and time-consuming, so many companies use automated tools to streamline this process and ensure the security of users' personal information. Meow.com is a trusted tool that R365 employs to help protect you and your organization.


Prerequisites

Have the following documents ready:

  • Formation document for the business, such as an Article of Incorporation, Certificate of Formation, Certificate of Organization, or an operating agreement.

  • EIN Verification Letter for the business, provided by the IRS.

  • Government-issued ID, such as a driver's license, passport, or other form of identification for all individuals to be verified.

  • Proof of address, such as a driver's license, lease, mortgage statement, or utility bill for all individuals to be verified.

  • Bank documents, such as a voided check or statement.


Completing the Form

  1. Select the following link to begin the onboarding process in a new tab: https://restaurant365.meow.com/signup.

  1. Enter the Email Address and Password that you use to log in to R365 and then select Verify Identity.
    The Confirm Your Account page appears.

  1. A sign up verification code is sent to the email address provided. Enter this code in the Confirmation Code field and then select Confirm code.
    Once confirmed, a welcome message appears.

  1. Select Get Started to begin and complete the following steps for each legal entity that will be using R365 Payments.

  1. Complete the Business Details from Restaurant365 page:

  1. Enter the Legal Name and R365 Legal Entity Number as they appear in the Legal Entity record in R365.

  2. In the R365 Instance URL field, enter the first part of the R365 web address for your organization. This is usually the name of your organization. Do not include '.restaurant365.com' as this part is pre-filled.

  3. Select Continue.

  1. Enter address information for the legal entity:

  1. In the Business Physical Address section, enter the address details for the physical location of the legal entity.

  2. In the Business Legal Address section, leave the checkbox selected if the legal/mailing address matches the physical address or clear the checkbox to enter address details for the legal/mailing location of the legal entity.

  3. Select Continue.

  1. On the Business Details page, enter the following information:

  1. In the Company Name field, enter the legal name of the business or organization.

  2. In the Tax ID / EIN field, enter the number used by the legal entity to file taxes. For companies in the U.S., this is a nine-digit number, assigned by the IRS and found in the Articles of Incorporation.

  3. From the Incorporation State drop-down, select the U.S. state in which the business is registered.

  4. From the Legal Structure drop-down, select the business type, such as a trust, LLC, corporation, etc.

  5. From the Company Industry drop-down, enter the business' specialty or area of expertise.

  6. In the Company Website field, enter the URL for the business' website. This field is optional.

  7. Select Continue.

  1. On the Upload Documents page, drag files from a file manager window into the upload area or select the upload area to open the file manager on your device. Please provide the following documents as PDF files:

  1. In the Formation Document upload area, upload a document proving the legal formation of the business. This can be an Article of Incorporation, Certificate of Formation, Certificate of Organization, or an operating agreement.

  2. In the EIN Document upload area, upload the EIN (Employee Identification Number) verification letter provided to the business by the IRS (Internal Revenue Service). For more information or to request a new copy of the letter, see https://www.irs.gov/businesses/.

  3. Select Continue.

  1. Complete the Verify your identity page:

  1. Use the drop-down menu to select the description that most closely matches your job title.

  2. Select on of the checkboxes:

    • If you own a significant portion of the company, select the 'I own more than 25% of [legal entity]' checkbox and then enter the percentage of the company to which you can claim ownership.

    • Otherwise, select the 'I am an individual with significant responsibility to control, manage or direct the company' checkbox. To meet compliance requirements, you will be required to enter information for at least one individual who owns 25% or more of the legal entity.

  3. Select Continue.

  1. Select Continue on the resulting pop-up window to begin the personal identity verification process.

  1. Select the country in which you live and enter your phone number and then select Send verification code.

  1. A verification code is sent to the phone number provided via SMS text message. Enter this verification code on the Verify phone number page and then select Continue.

  1. Enter your First name and Last name as they appear on your legal documents, such as your passport or driver's license and then select Continue.

  1. Enter your legal/mailing Address and Date of birth and then select Continue.

  1. Enter your Social Security Number (SSN) and then select Continue.

  1. Upload documents to prove your identity. To upload documents, drag files from a file manager window into the upload area or select the upload area to open the file manager on your device.

  1. In the Photo ID upload area, upload a government-issued identification document, such as a driver's license or passport.

  2. In the Proof of Personal Address upload area, upload any document that proves your legal/mailing address, such as a utility bill, driver's license, lease, or mortgage statement.

  3. Select Continue.

  1. (Optional) Add other individuals who own 25% or more of the business.

  1. Select Add an Owner.

  2. Enter their email address and percentage of ownership and then select the description that best matches their job title.

  3. Select Add Owner.

  4. If you have the necessary documents and information, you can Verify On Their Behalf or Invite Them To Verify.

  5. Add more owners until all owners are added.

  6. Select Continue.

  1. Add a bank account.

  1. Select Add an Account.

  2. Enter the Account Number, Routing Number, and Account Type.

  3. Upload proof of ownership of the account, such as a voided check or bank statement.

  4. Select Add.

  5. Add more accounts until all bank accounts are added.

  6. Select Submit.

  1. Review the Application Submission document and select Submit Application when ready.

  1. Your information is now under review!
    To add additional legal entities, open a new form by selecting Verify Additional Legal Entity.
