29 July 2024

New Features

  • Checklist CSV Export Enhancement
    When exported as a CSV file, checklists include additional location data. The exported CSV now provides more detailed information including the checklist name, location, date and time of submission, name of the person who submitted the checklist, and any comments attached to the checklist.

  • Undo Changes in Checklists
    Users can now undo changes to checklists! Users can revert any modifications made during the editing process, enhancing the flexibility of management checklists.

  • Knowledge Base Chat Enhancements
    Enhancements to the Knowledge Base (KB) Chat system provide a more intuitive and efficient user experience.

  • Checklist Individual User Notification on Submission
    Admins can now configure a set of users to be notified upon submission of any operational, daily, periodic, or audit checklist.

New Features

  • Automated language translations are now available for courses and quizzes, enhancing multi-language support and accessibility.

Major Improvements

  • The checklist preview has been redesigned to use the same styles and components (for example, buttons and icons) as are used throughout ExpandShare, ensuring a consistent user experience across the platform.

  • Action plan tasks now display the associated location name, providing better context and clarity for task assignments.

  • Learning Tracks 2.0 features an updated design for viewing PDF documents, improving the user interface and usability.

  • Learning Tracks features an updated design for the list admin interface, offering a more intuitive and user-friendly layout.

  • The media upload button in Learning Tracks 2.0 has been updated with a new media browser for easier media management.

  • All alerts concerning checklists that have not been submitted are now combined into a single push notification or email alert.

  • A digest notification will be sent to location managers to alert them of any checklists that were not completed the previous day.

  • Reminders will be sent to notify users of periodic and audit tasks that are due in 3 days, due today, and overdue by 3 days to help prioritize important tasks.

New Features

  • The Knowledgebase section of the Admin Dashboard now includes a Chat Reporting feature! The Knowledge Base Report provides a breakdown of user feedback and interactions with the chatbot, allowing admins to analyze the results the chatbot provided and modify knowledgebase contents to remedy any omissions or oversights.

  • Automatically notify a location when a team member receives recognition. Admins can set recognition to automatically post to the location's Newsfeed, increasing visibility and acknowledgment of user contributions. To enable this feature, select the ‘Notify location via newsfeed when a team member receives recognition’ checkbox in Admin > Notifications.

Major Improvements

  • The Table of Contents drawer in the Learning Tracks 2.0 Mobile Player enhances content accessibility on mobile devices.

  • The Knowledge Base Report displays the total number of interactions as well as the number of positive and negative interactions, providing more comprehensive analytics and better insight into chatbot usage.

  • The Knowledgebase chatbot attaches all sources to conversations to enhance the reliability and detail of answers.

  • The Knowledge Base Report now includes a pie chart for all classifications on the Knowledgebase dashboard, offering a visual representation of classification data.

  • The Course Player features an improved display size for interactive exercises, optimizing the user experience.

  • Content scaling has been implemented in the Course Player, optimizing viewability for larger screens and ensuring a consistent and high-quality display.

Minor Improvements

  • Empty state colors have been added to BETA courses, improving visual clarity and user experience.

  • The checklist preview has been enhanced by adding a collapse section feature, improving user navigation and readability.

  • Improvements have been made to the action plan generation process for better efficiency and usability.

  • Additional information has been added on the Integrations page, providing more detailed and useful insights for company administrators and support personnel.

New Courses

  • Resy added 4 new courses! Resy’s restaurant partners use Resy OS to run their businesses smarter and more efficiently. The new courses introduce learners to the Resy Dashboard, Resy OS for iPad, and Advanced Reservation Management.

  • Clover POS added 9 new courses! Clover’s powerful point of sale apps allow users to track inventory and manage employees. The new courses go over adding images to the menu, managing the menu, and accepting PayPal and Venmo QR code payments.

  • Grubhub for Restaurants added 6 new courses! With a place for every taste, it’s easy to order online or through the Grubhub app. With these courses, learners will master GrubHub for Restaurants and become experts on menu management.

  • DoorDash for Merchants added 2 new courses! DoorDash, Inc. operates an online food ordering and food delivery platform. These new courses teach the basics of the DoorDash Merchant Portal.

  • Uber Eats for Merchants added 25 new courses! Uber Eats connects people with local restaurants and food delivery services. These courses teach learners who to add new menu items and create Modifier Groups, as well as how to manage items, pricing, and descriptions.

  • Ottimate added 17 new courses! Ottimate, formerly known as Plate IQ, specializes in AI-based accounts payable (AP) automation software. Ottimate's new training courses go over adding and removing users, creating invoices, and item mapping.

  • Henny Penny Training added 19 new courses! Henny Penny is also a well-known manufacturer of commercial kitchen equipment. The new courses cover cooking screen usage, daily filter pan cleaning, and fixing a stuck spindle assembly on a 4-head pressure fryer.

  • MarginEdge Training added 3 new courses! MarginEdge is a restaurant management system that was created to get you out of the back office and back onto the floor. Connect your POS, link your accounting system, and send your invoices. The new courses focus on navigation, using the orders screen, and uploading invoices.

  • Hot Schedules Training added 35 new courses! HotSchedules (by Fourth) supports restaurants and hospitality businesses with hiring and retaining employees, scheduling, forecasting, human resource management, and payroll compliance processes. These new courses teach learners how to manage schedules and create labor budgets.

Updated Courses

  • Driver Safety teaches safe driving, checking the vehicle before a shift, and what to do if an incident occurs while making a delivery.

  • Deliver Customer Service elevates the learner’s customer service skills, turning an ordinary delivery into an excellent experience for your customers.

  • Language Review in the new Course Player! Missed question reviews in Spanish are now functioning correctly.

  • Completed by Manager Label Logic! We've corrected the logic for the 'completed by manager' label.

  • Knowledge Base AI Chatbot Document Handling! The issue with empty docs variable in this feature has been resolved.

We’d like to tell you about an incredible new training tool available from ExpandShare--an AI assisted chatbot that can become an expert in your content and processes, and correctly answer your users’ questions 24/7.

What does this mean? You can train the secure AI using a huge range of file types from your Library (including Word documents, PDF, videos, PowerPoint, audio, images, CSV, and Excel) and offer accurate immediate answers in a chat environment. 

Your users will get easily readable responses in plain English, or in Spanish, or any of 26 other languages. If users ask a question in a language, or simply ask that the chat bot answer in another language, it will do so. 

Answers include links to the source documents that were used to answer the question, so users can just click into them for further details. Providing your team with answers about your company's procedures, policies, and products has never been easier.

Here's a list of the file formats that the AI Knowledge Base can learn from in your ExpandShare Library, with other formats on the way!

Documents

  • PDF (.pdf): Portable Document Format.

  • Word Documents (.doc, .docx): Microsoft Word documents, standard for text documents.

  • PowerPoint Presentations (.ppt, .pptx, .pptm): Microsoft PowerPoint files for presentations, including macro-enabled formats.

  • EPUB (.epub): An open eBook file format for digital books and publications.

Multimedia

  • Video (.mp4, .avi, .mov, .mkv, .wmv, .mpg, .mpeg, .m4v, .ogv, .flv): Various video file formats for digital video playback, supporting a range of codecs and qualities.

  • Audio (.mp3): MPEG Layer 3 audio, a standard format for audio compression

Images

  • .jpg, .jpeg, .png, .gif, .bmp, .tiff, .webp: A range of image file formats for digital photos and graphics, supporting various levels of compression and color depths.

Data

  • CSV (.csv): Comma-Separated Values, a simple file format that stores tabular data, such as spreadsheets or databases.

  • Excel Spreadsheets (.xls, .xlsx): Microsoft Excel files for spreadsheets supporting complex formulas, charts, and tables.

If you're interested in being one of the first to try out this Beta feature, contact ExpandShare Support to have the AI Knowledge Base Chatbot enabled. You can select which folders and content are added to the Knowledge Base, and what the Chatbot is called on your site. You can retrain the Chatbot whenever you want, or even just test it as an Admin before letting your company try out the new capability.

We are happy to start off the new year by announcing a significant update to our Checklist feature. This update includes enhanced usability, support for Not Applicable (NA) sections, and improved styling. These upgrades apply immediately to all checklist formats, including Daily and Periodic Operations, Audits and Training Checklists.

Streamlined Usability

Our entire Checklist interface has been redesigned to be more efficient and intuitive, especially for use on mobile devices with limited screen size. With a cleaner layout and more responsive controls, users can navigate and complete items more easily than ever before. 

The redesign particularly focuses on improving the experience for multi-section checklists, collapsing completed sections, and showing certain buttons only when necessary like the Notes and Photos.

Checklist sections now show progress depicted by the blue line below the section header and collapse and expand when applicable.

Support for Not Applicable (NA) Sections

Understanding that not every section of a checklist is relevant to every user, we've introduced the option to mark sections as Not Applicable (NA). This feature allows users to streamline their checklists, focusing only on the items that matter to them. It’s a simple yet powerful way to customize your checklist experience.

When building a checklist you have the option to allow for users to mark individual items as NA.  Now you can also mark entire Sections available to be set NA.

The ExpandShare Customer Success team is delighted to announce an improved Admin Newsletter to connect, engage, and share valuable insights! This bi-weekly email will provide a curated digest of updates including new features, system updates, recently released courses, and (in the near future) spotlighted customers who are crushing it with their training and operations.

Reporting Update: Location Training Summary

We’ve streamlined the process for your location managers to effortlessly monitor their team’s training progress—all from one easy-to-navigate screen. Simply visit the Location tab and select All Training to access the newly designed Training Report.

This report features a 30-day chart of training completions, offering an at-a-glance view of your team’s progress. Below, you’ll find a list of all active Learning Tracks. Click to drill down into each track to view the completion status for individual employees.

For more comprehensive information, each store also includes a Summary tab. By clicking on it, managers can view a matrix report that displays every employee with their assigned Learning Tracks and respective completion statuses. For added convenience, all this data can be effortlessly exported by clicking the Export to CSV button located in the upper right corner of the screen.

Checklist Processing Capacity Increased

We are pleased to report significant improvements in the past week to our Operations Tools (Checklists & Audits), aimed at enhancing performance and reliability. Through software optimizations focused on reducing database writes, we have achieved a 70% reduction in server load. This has been further aided by a more efficient saving mechanism while filling out and submitting checklists. As a direct result of these changes, users are experiencing faster load times and the elimination of previous timeout issues. These upgrades align with our ongoing commitment to provide a stable and efficient user experience.

NEW Marketplace and Updated BOH Industry Courses

There’s a new feature on your Admin Dashboard called Marketplace with 150 training courses and checklists that you can import onto your site for free. Select Admin in the left menu, then choose Marketplace under the Training heading.

Marketplace allows you to easily find industry training courses and forms, by searching, choosing partners, or filtering to just Checklists or just Courses. Click on any resource for the full title, description, run time and a button to + Add to your site.

For months, our developers have been studying ways for the ExpandShare app to use artificial intelligence to make it easy to create, improve and translate their training and operations. We're excited now to announce to our customers that your existing site already includes the first ExpandShare AI enhancements, free and ready for you to use immediately.

We've harnessed the same technology that powers ChatGPT to make it easier for you to write and enhance announcements, faster to create new operations or audit checklists from scratch, and simple for your employees to translate your posts from English into other common languages, all right in the ExpandShare app. 

Generate Posts with AI

Need to write a post about a new LTO or weekend special, but don't have time to wordsmith? Click the AI microchip icon below the text area to Generate Post and have AI help you get your message together.

Just type in a phrase to get the process started and click Generate. The AI will take a moment to put together the announcement for you and place it right into the "Type Message" area:

Whether you write the first draft of the post yourself or have AI generate it, once you have some text in the box, you'll see a new magic wand icon to use AI to Improve Post. Clicking this will analyze the text and rewrite it for you. You can also tweak the rewrites by clicking the Options button and selecting one or several of options to Simplify, Change Tone and Change Formality. Click Apply to make these edits and click Accept when you're happy with the wording.

AI Assist for Checklists

We also provide AI tools to help you create your next daily, periodic, or audit checklist. When you create a new form, you now have the option for Use ExpandShare AI. Simply select the checklist type and enter text for your topic, click Generate, and in just a minute, all of the steps of a checklist will be created in the builder.

Language Translation for Posts

If your employee base has a diversity of languages they are most comfortable with, ExpandShare helps support your communication with AI-assisted translation on the fly. All of your past and future posts can be easily translated into Spanish, French, German, Hindi, Italian or Polish with a single click on the Translate dropdown below every Post by any reader.


These are just the first few AI-empowered features in ExpandShare, and we expect more to follow. We encourage you to try these out and let us know if you have any feedback or suggestions for future support and development.

Save and then Save as Draft if not ready to finalize Action Plan or Save and Finalize when done.

Assignees will immediately be notified of their tasks by app alert or email, and also notified in-app under the Notifications Bell. Assignees will also receive reminders on outstanding tasks until they or another assignee completes the action, with reminders automatically going out 3 days prior to due date, on the due date and when the task is 3 days overdue.

These assignments can be found under the Checklist tab in ExpandShare in a section headed My Tasks. Tasks can be checked off or the arrow clicked to see further Task Details such as the due date and Description, and can be checked off on either screen.

As tasks are completed on the Action Plan, the auditor who created the plan will be notified in real time, either by app alert or email.

ExpandShare customers with our Checklist feature can now create an Action Plan to resolve any defects identified during an Audit.

Action Plans are follow-through tasks with specific assignees and deadlines, to resolve issues found during an Audit. Once an audit has been submitted, the View Report View Audit options will show the results, as well as a Create Action Plan button in the upper right. Any Role that has rights to complete the Audit will also have rights to create the action plan.

Each of the failed items from the audit are available to add to the action plan, but it is not required to add all of them. Click on each failed item that should be included in the plan, and fill in the Action expected, optional Details as well as the Due Date and Assign to one or more employees from the audited location, available as a drop down/type-ahead. Click Create to include each action.

Our Checklist tool had several major new features released this week, available immediately to help you keep your operations running smoothly and tracked with integrity.

Checklist Preview

All checklist types (Daily, Periodic, Audit, Training Checklists & Self Checks) can now be easily Previewed right from the Editor page and also from the Checklist Management screen. Just click on the eyeball Preview icon or menu option to see how your form is shaping up, then Go Back to editing.

Information Units

A new type of field has been added to all checklist types called Information. These fields can be used for text instructions and attached video, image or document files, such as PDF. The attachments can be added from your Library or directly from your device, and are a great way to demonstrate a procedure or explain the steps in a process relevant to the checklist.

Field by Field Completion Tracking

By popular request, we’ve increased our tracking details on all checklists to include not just the name of the team member who submitted the form, but also line by line accountability for who answered each question. For Daily and Periodic checklists, the field by field user logging is right on the checklist report, while for audits, training checklists and self checks, it is visible by expanding the detail. All PDFs generated using the Print Checklist option under the three dots ⋮ also includes tracking for each line. This is great for accountability and also for ensuring that checklists are being delegated and team completed.

Other Streamlining for Checklists

Other aspects of creating, completing and reporting on checklists were also streamlined, including one fewer screen needed to create new checklists, a Description field visible to checklist users, and a new Date Picker for viewing past submissions.

Audit Reporting Now Aggregated Across Location Hierarchy

Reporting for Audit checklists has now been improved to make it easy to see rollups and comparisons of recent audit scores and number of overdue locations throughout your hierarchy. Management can quickly compare regions and stores based on audit performance and see which locations are overdue for inspections, then drill down for more details.

Audits now have their own report line on the top level of the Location tab, including an average of most recent submissions for each store location and total number of overdue audits.

Clicking on the Audits report line will open the first location level view, with roll up reporting at each district or region level as you drill down to specific locations.

Our main reporting screen, the Location Dashboard, has been reformatted to include more types information in a more graphically useful way. The new format was released today for all clients, so it is already available for all users on your site with either full Company Admin or Location Admin rights under the Location tab on the front end of the ExpandShare app.

The information previously shown as simply percentages are now shown with an additional horizontal bar chart, and several new types of tracking are available when the features are in use.

Daily Operations Checklists are tracked with a half circle dial that shows the percentage of the daily checklists done already at this point today.

Periodic Checklists and Audits now also include a counter for those that are either Due today or Overdue.

Staffing, Certifications and Tasks are all new features that are included in the new interface when activated. If you have any questions about tracking staffing or location tasks, please contact [email protected] to get this configured for your site.

Our development team has been very busy across this summer, so we're catching up on some of the great new features they've already deployed to your ExpandShare site!

Periodic Checklists

You can now track repeating tasks that aren't daily. Clients who use our Checklist feature now have the option to create preventative maintenance, periodic cleaning, and other regular but non-daily tasks using Periodic Checklists. Similar to Daily Checklists, Periodic Checklists are procedural (not scored), but you can set them to be due at any number of days from the last submission in the Checklist Management screen.

If not completed on time, Periodic Checklist will be marked as Overdue until done. The number of overdue periodic checklists and audits roll up to the top level of your Location Reporting screens, so you can keep track of when they are not being done on time from one company wide view.

Pinning Posts

Company Admins (and no other lower admin roles) can select to Pin select posts to the very top of the feed either when creating or editing the post. Pinned posts stay at the top of the feed, even as other posts are made later. If more than one post is pinned, they will be pinned chronologically from the date first created, just like non-pinned posts. Only the original post author can pin or unpin.

Admin Dashboard

We continue to move our features and settings away from the legacy Admin Console, and have launched a new Admin Dashboard out on the mobile front end interface. Company Admins can find this under the Profile tab:

This consolidated Company Admin screen has links to all of the site management tools, even those still back on the legacy (Green) screens. From one page, Company Admins can add new locations, edit Roles, create Courses, assign Learning Tracks, and modify Checklists:

A much requested feature to be able to see previously completed and future checklists has been implemented in a new release.  There is now Daily Operations calendar functionality to navigate to previous dates and see submissions for that date.

Navigate to Checklists and then go to the Store Page. You'll see the Calendar above the Ops checklists for that store.

The calendar view will show a history of submissions over time as well as checklists coming due based on their individual schedules.

A new capability in ExpandShare is the ability of Location Admins to assign training to the users at their location.  Company Admins can allow certain learning tracks to be assignable in the Learning Track Settings in the Management Console. Just click to make the training assignable.

Once that is set, then a location admin can go to any User Profile of their team and click to see the learning tracks and assign them out to their users.  This allows a local manager more control over their training and onboarding process.

Another new feature is an addition to the newly released self-check checklist.  Now, managers can also complete self check items, either separately or simultaneously.  This is especially useful for shadowing and reverse shadowing where both the trainer/manager and the employee are stepping through an onboarding process.

Anyone with Location Admin permissions or above can now add a Self Check from the Training page

Previously you could re-order folders in the library using a numeric ordering system.  It's been replaced with drag-and-drop arranging of Library Folders, on desktop. Mobile re-ordering coming soon!

If you are an admin in the Library, just click and drag your Folders to their new spot.  Curate your Library so your users can find exactly what they are looking for quickly!  This is especially important at the top levels of your Library.

Training Checklists in ExpandShare have typically required a manager or admin to check off items on a trainer check.

However, there are occasions when you might want an employee to check themselves.  For example, if there are list of tasks they need to self-research, or onboarding tasks.  Anything that does not need to be verified by a trainer for some reason can be set up as a Self Check.

Company Admins can add a Self Check to Learning Tracks just as they can add Trainer Checks. 

You'll find Self Checks in same place as Trainer Checks, just click the Gear in the Training Menu, then choose Self Checks

Once you have created a Self Check, you can add it to a Learning Track in the Admin Console, exactly as you do with Trainer Checks.

The user must then complete the Self Check in order to complete the Learning Track.

Checklist Versioning

Checklists and Trainer Checks now support versioning, meaning you can change and update the checklists without affecting reporting for previous versions.

You will now see a historical record of all changes made to a checklist through the builder.  All changes are tracked as draft versions with the option to publish the checklist once the checklist is ready for use. Checklists submitted in the past maintain accurate reporting and scoring based on the historical version of that checklist.

Prior submissions on a historical version will use that version for reporting.

You can now apply Tags for Library items which makes it easier for users to find your content.  Chose Edit from the item menu to edit the item's properties.  You can then search for tags and apply them, OR to create a new tag, enter a name for the tag and click Return.  The new tag will be applied and can be used for other Library resources as well.

ExpandShare now allows for Prerequisites in Learning Tracks.  Users cannot move on to the next Learning Track item until the Prerequisite Course or Item is complete.

ExpandShare has a new Library Item detail page that includes a description field, size, creation and modification dates as well as total number of Views.  This is now an easy way to track engagement of your library content.  Videos play inline right from the detail page.

There is also a new Share feature which allows you to send the item directly to a Post to share with your team.  Use this for ongoing training and highlight content in your Library.  This feature is available to Location Admins and above.

There are also new Company Admin controls to MoveCopy and Replace.

When you reach the location level with completed audits, you’ll see a breakdown of all audit-style checklists for that store, including the score of the most recent submission. Click on an audit to view all submissions, including date stamp, name of auditor, pass/fail status and score.

Each Audit can be opened to see scores broken down by section and markings per unit, including any comments or photos attached to each item.

Visibility to submitted audits is based on the location admin rights of each user. Company Admins can see all submissions and roll ups, while district and regional managers can see their level and all locations below. At the store level, any user with Location Admin rights can view the full audit report details.

The ExpandShare Checklist feature supports many processes, including daily Operations Tasks, individual COVID Health Check, and location Audits, including: Site Visit, Safety Audit, Food Safety, Health Inspection Review, scheduled Preventive Maintenance, and periodic Cleaning Schedules. 

If your ExpandShare contract already includes Checklist, this new functionality is available immediately.

We've launched a brand new feature in ExpandShare to support the culture of sharing Recognition at all levels of your organization, including immediate notifications, reporting and tracking of usage by location over time. 

The feature is available now to customers on current plans by contacting [email protected]. Once enabled, any Account Owner, Company Admin or Managers with rights to view employee profiles can call out and encourage their team members for the hard work they do every day. 

Recognition is given by looking up a specific employee's Profile page and clicking on the Recognition widget.

The widget shows the number of recognitions the employee has already received and clicking on the box opens a text panel for entering the next feedback. Below the text panel, a list of prior recognitions is shown, including the date and manager who shared their appreciation.

Your company can opt to have the Recognition text panel blank or to start preloaded with a template of the format you'd like managers to use. While optional, a template can help managers remember to highlight key company values that the employee helped achieve or match a recognition format used previously.

Once a manager types in a recognition message and clicks Submit, the employee will be immediately notified, either by app alert or email. Managers can click the three dots  next to any submission to edit or delete a post they made.

Account Owners and Company Admins will see a roll up report of the total cumulative companywide on the top Location screen, as well as a count of those recognized in the current month. Managers at each location can see the same view specific to their location.

Clicking through opens a monthly trend graph of the past 6 months, with the ability to drill down to locations and sublocations.

At any point, Admins can switch the view from Locations to Recognition to see the most recent submissions, including date/time stamp and author.

These report views can help you set a standard for the number of expected recognitions to be made by each location monthly and monitor participation.

Checklist Feature now Supports Location Assignment!

ExpandShare is pleased to introduce support for assigning Daily/Procedural Checklists and Periodic Audits to one or more locations. Previously, Company Admins could assign Checklists by Group/Role, but we now permit assignment to any combination of locations as well. If you have used the location & group assignment for Posts on the Home tab, then the expanded assignment in Checklist will be familiar to you.

To help Company Admins view Checklist assignments, we've also added a helpful filter in the Checklist Management area. Company Admins can click on the funnel icon to quickly customize the list of Checklists shown, based on the audience of locations and/or groups.

If your ExpandShare contract already includes Checklist, this new functionality is available immediately. Any Checklists made before this feature will continue to be assigned to All Locations by default until the audience is edited. If Checklist isn’t yet a part of your ExpandShare agreement or if you would like to set up an admin training call, contact Amber Doll at [email protected] or set up a meeting from her calendar.

Post Reporting on Likes

Since we've added social media features to Posts, we've had a lot of interest in visibility to not just the number of Likes, but also the list of users who gave their thumbs up. We're happy to announce that this information is immediately available (even for past posts and likes) to all users. Simply click on the Likes counter to see the list.

All users continue to have access to see the basic audience details and view counts for each post by clicking on Audience, and Company Admins and post authors (including Location Admins) continue to have detailed reporting on all users who have Viewed / Not Viewed their posts by clicking on Audience > Views.
