Email Subscription Record

Article summary

The Email Subscription record contains the settings for the selected report subscription.  When creating a new report subscription the window displays as ‘Add Email Subscription’ and when editing an email subscription, the window displays as ‘Edit Email Subscription’. The parameters are dependent on the Report and schedule selected.


Buttons and Fields

Field

Description

Report

Sets the report for the report subscription. Users can choose from a list of all reports available for selection within this Report Subscription. The reports displayed are determined by the user's permissions.

Only one Report can be selected for each subscription.

Report View

Sets the report view for the selected report. Report views act a report parameter template. Users can choose from a list of previously created report views, which will be used to generate the report at the scheduled time.

Subscription Name

The name used for this Subscription. The name defaults to the Report Name + ‘Subscription’, but can be edited by the user.

The name entered will be displayed in the reports subscriptions page and can be used as the email subject.

Active Toggle

Activates the Report Subscription when toggled on.

If this is not enabled, the Report Subscription can still be created but will not be sent until activated.

Schedule

Frequency: The date and time the selected report will be scheduled to run. Users can choose one of the following options:

  • Daily - When selected, the User can choose whether the report will be sent on the weekdays only (Monday - Friday) or every day (Sunday - Saturday).

  • Weekly - When selected, the User can choose the day(s) of the week that the Report should be sent and the cadence for the report (Every 1 week, every 2 weeks, etc.).

  • Monthly - When selected, the User can choose either a specific day or a selected time of the month to send the Report.

Start Date: The first day the report will be sent.

Send Time: The time the report will send.

Time Zone: The time zone used to determine when the report will send.

Date Settings

The relative dates for which the Report's data is pulled. This section will only appear if the Report includes 'As Of' or 'Start' and 'End' dates in its Report Parameters. Depending on the selection made for this field, an additional field may appear where the number of days, the day of the week, or the date will need to be selected as well. The available date settings include:

  • Days Before Run Date

    • This will be auto-selected if the Report View includes a 'Start' date of 'Yesterday'.

  • Run Date

    • This will be auto-selected if the Report View includes an 'End' date of 'Today'.

  • First Day of Previous Week

  • Last Day of Previous Week

  • First Day of Current Week

  • First Day of Previous Month

  • Last Day of Previous Month

  • First Day of Current Month

  • Custom Date

Recipients

The recipients of the selected report.

System and non-system users can be added as recipients. When typing in the To field, the system searches for R365 users matching the entered text. Non-R365 users can be added by entering their full email addresses and hitting Enter after each email.

Subject

The subject line of the email.

Options include:

  • R365 Default - This is the default R365 option, which will display as 'R365 Reports: (Report Name) as of (Date Time)'.

  • Subscription Name - This is the name set for the Subscription (#3).

  • Custom - This will display a text field where a custom subject line up to 75 characters can be entered. Once selected, this field cannot remain blank.

Export Type

The manner in which the Report will be shared. Options include:

  • PDF

  • Excel

  • CSV

  • TXT

  • XML
