Contact your CSM for more information. The Calendar Setup step on the [Onboarding Dashboard](/doc/docs/onboarding-dashboard-1) defines fiscal and operational calendars for each legal entity. It establishes the structure and start date for each legal entity’s calendar for the initial year in R365. After a calendar is created, additional configuration options become available on the [Fiscal Period Setup page](/doc/docs/fiscal-period-setup-page). --- ## Security Users must have the following permissions to create fiscal years in the Calendar Setup step: - Administration → Dashboards → View Onboarding Dashboard - Administration → Fiscal Years → View Fiscal Years - Administration → Fiscal Years → Edit Fiscal Years - Administration → Fiscal Years → Create Fiscal Years These permissions can be added to [custom user roles](https://restaurant365.us.document360.io/doc/docs/custom-user-roles) or [individual users](https://restaurant365.us.document360.io/doc/docs/users-overview-and-security). The [Permission Access report](https://restaurant365.us.document360.io/doc/docs/generating-a-permissions-access-report) can be used to determine which user roles or users already have these permissions assigned. When expanded, collapses the table to a smaller view. | | **4** | Calendar row | The details for an individual [fiscal year](/doc/docs/fiscal-period-setup-page) which defines the operational and fiscal periods. | | **5** | +Calendar | Creates a new calendar row entry in the table. | | **6** | Horizontal Scroll | Scrolls horizontally to view all columns within the Calendars table | | **7** | Complete and Close | Closes the Calendar setup step. After completing, the step cannot be reopened. Created calendars can be viewed or edited, and new calendars can be added from the [Fiscal years page](/doc/docs/fiscal-years-page). | ### Columns | Columns | Description | | --- | --- | | Row number | Displays the sequential number for each calendar entry. This number is used only as a count in the onboarding dashboard and is not included in the calendar record. | | Legal entities | Specifies which legal entities the calendar applies to. The dropdown includes all entities created in R365. [A fiscal and operational year](/doc/docs/fiscal-period-setup-page) is created for each selected entity and appears on the [Fiscal years page](/doc/docs/fiscal-years-page). Each entity can be assigned to only one calendar. | | Fiscal calendar structure | The calendar framework that will be used for financial reporting, budgets, and year end close. Defines how periods are organized across the fiscal year. Options include: - **Calendar months:** Uses standard calendar months. Recommended for small and midsize businesses that report on a monthly basis. - **13/4:** Uses 13 periods of four weeks each year. Simplifies operational reporting with equal-length periods. - **4/4/5:** Uses two 4-week periods and one 5-week period per quarter. Balances reporting across quarters. - **4/5/4:** Uses one 4-week, one 5-week, and one 4-week period per quarter. Common for retail and restaurant operations with varying period lengths. - **5/4/4:** Uses one 5-week and two 4-week periods per quarter. Provides consistent quarterly length for operational reporting. - **Custom periods:** Uses custom created periods where each period’s start and end is defined individually. Use when the fiscal calendar does not match any of the predefined structures. | | 52/53 Week | When the fiscal calendar structure is set to a weekly pattern this setting determines the date the fiscal year will end and enables a 53rd week to be added when an additional 7 days remain at the end of a year. Weekly patterns include 13/4, 4/4/5, 4/5/4, 5/4/4. 52/53 week options include: - **Last date this weekday occurs:** Sets the fiscal year‑end to the last time the last day of the reporting week occurs in the final calendar month (for example, the last Sunday in December). The year always ends on that weekday in the last full week of the month. The exact calendar date can move from year to year, but the year‑end always lands on that weekday inside the last calendar month. - **Weekday nearest month end:** Sets the fiscal year‑end to the last occurrence of the last day of the reporting week that is closest to the last day of the final calendar month (for example, the Sunday closest to Dec 31, whether it is before or after that date). The year always ends on the last day of the reporting week that is closest to month‑end, even if that week crosses into the next calendar month. - **Do not use 52/53 week rule:** When selected, a 53rd week is not added to any fiscal years. | | Fiscal calendar start date | The first date of the fiscal year for the selected calendar. The weekday of this date becomes the first day of the fiscal reporting week, so all fiscal weeks in the year start on that same weekday. | | Fiscal calendar end date | The last day of the fiscal year. This date is automatically calculated based on the fiscal calendar structure and start date. | | Fiscal reporting week | Displays the start and end day of the week for the Fiscal reporting based on the selected **Fiscal calendar start date**. | | Operational calendar structure | The calendar framework that will be used for operational reporting, forecasts, and payroll cycles. Defines how periods are organized across the operational year. Options include: - **Same as fiscal calendar:** Uses the same structure defined for the fiscal calendar. Keeps fiscal and operational reporting aligned. - **Calendar months:** Uses 12 standard calendar months. Recommended for small and midsize businesses that report on a monthly basis. - **13/4:** Uses 13 periods of four weeks each year. Simplifies operational reporting with equal-length periods. - **4/4/5:** Uses two 4-week periods and one 5-week period per quarter. Balances reporting across quarters. - **4/5/4:** Uses one 4-week, one 5-week, and one 4-week period per quarter.
