Use the Settings dialog on the [Labor rules page](/doc/docs/labor-rules-page-1) to enable or disable this behavior. Learn more in [Rule Library Overview](/doc/docs/rule-library-overview). > [!NOTE] > Requirements > > Three items must be enabled before a new location receives rules automatically: the rule library, the paid AI Labor Rules feature, and the **Automatically apply rules to new locations** switch. The switch is disabled by default. ## Security Only users with full access, and R365 users, can change the **Automatically apply rules to new locations** switch. Other users who can open the Labor rules page can see the AI Labor Rules banner and the **Manage AI Labor Rules** menu item. --- ## Enable or disable automatic rules for new locations *Click steps to expand for additional information and images.* ****1)** Open the Settings dialog** Go to Labor → Labor Rules. Locations that already exist do not receive rules automatically. To add library rules to existing locations, see [Apply Library Rules to Locations](/doc/docs/apply-library-rules-to-locations). --- ## Close the Settings dialog with unsaved changes Closing the dialog after changing the switch without saving opens the **Save your changes?** dialog. ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-4NEIWQDZ.png?sv=2026-02-06&spr=https&st=2026-10-28T18%3A56%3A45Z&se=2026-10-28T19%3A56%3A45Z&sr=c&sp=r&sig=NsfMPqmECzLGp%2BRH0nNsnfH15NyDc0xsA8se%2FYZ%2FrVY%3D) - Select **Save** to save the change and close the dialog. - Select **Discard changes** to close the dialog and keep the previous setting. - Select **Cancel** to return to the Settings dialog. --- ## How automatic rules work When all three requirements are enabled, R365 applies matching library rules to a new location after the shipping address on the location is saved. This applies to every way a location is created, including bulk import. See [Set up a New Location](/doc/docs/add-a-new-location). R365 applies at most one library rule for each rule type to the new location. R365 applies a rule only when the library has a rule of that type that matches the location. R365 skips rule types without a library rule, such as Minor, Shift differential, and Variance to schedule. **Break rules are never applied automatically**; apply them from the Rule library tab. **Reporting time pay** and **Predictability** rules are applied only to locations that use R365 scheduling. Automatic rules never replace a rule already in place on the location. When a location already has a rule of a type, that type is skipped. If R365 cannot apply a rule the first time, R365 retries automatically. When the retries do not succeed, apply the rule manually. See [Apply Library Rules to Locations](/doc/docs/apply-library-rules-to-locations). To check the result, open the Applied rules tab on the Labor rules page. Rules applied automatically show **Library** in the Source column. --- ### FAQ #### Why did a new location not receive library rules automatically? Three items must be on: the Rule library, the paid AI Labor Rules feature, and the Automatically apply rules to new locations switch. A rule type is also skipped when: the library has no rule of that type; the location already has a rule of that type; the rule type is Break; or the rule type is Reporting time pay or Predictability and the location doesn't use R365 scheduling. No rules are applied when the shipping address has no usable US state. See [Rule Library Overview](/doc/docs/rule-library-overview). #### Do existing locations receive rules when the switch is enabled? No. The switch applies only to locations created after it is enabled. Apply library rules to existing locations from the Rule library tab. See [Apply Library Rules to Locations](/doc/docs/apply-library-rules-to-locations). A restaurant or business site under a legal entity where operational and financial activity is tracked in R365.
