Article summary

When new employees are hired onto your team, their employee information should be entered in your POS System so that at the end of the night, the Daily Sales will pull in their POS ID and create a new Employee record in R365 for them.

Once an Employee record is created for them, it will be up to the selected Employee Master to determine how the Employee record will be updated in the future.

Employee Master Settings

Only the following fields will be updated based on the set Employee Master:

  • First Name

  • Middle Name

  • Last Name

  • Address 1

  • Address 2

  • City

  • Zip Code

  • State

  • Phone Number

  • Email Address

  • POS ID

  • Hire Date

  • Payroll ID

Employee Master is a field located on the 'Miscellaneous' tab of System Preferences. To open System Preferences, hover over 'Administration' in the top ribbon and click 'Preferences'.


Employee Information Management

Depending on the amount of information that has been entered into your POS system, the Employee record includes the Employee Name, Locations, and Job Titles. An organizational decision should be made to determine which system maintains employee information:

  1. Restaurant365 - All employee information is controlled through R365. New employees are pulled over from the POS, but once they are created, no updates are made to the Employee record, except when edited manually in R365.

  2. POS - All employee information is controlled through the POS. While accurate pay rates will be pulled in and used for Labor reporting, not all Employee information is importable from all POS systems.

    • If selected, then fields not polled by the POS will not be overwritten. Ask your Coach or R365 Support to determine which fields are pulled into R365 from your specific POS System.

  3. Payroll Provider - Employee information is pulled from an integrated payroll provider.

  4. HRIS - Employee information is managed by from an integrated human resources information system, such as Workday or UKG.

Consult with your R365 coach on the best option depending on your POS.
