Locations are created and managed from the [Locations page](/docs/create-and-add-a-location-to-payroll#). Add a new location to represent a restaurant, commissary, or accounting entity tied to an existing legal entity. Each location tracks its own operational and financial activity. If the new location is linked to a legal entity configured for payroll processing, R365 [validates the address](/doc/docs/address-verification) before saving. ## Security The following permission is required to create a location. Administration → Locations → Create Locations ## Create a Location To create a location, follow these steps: *Click steps to expand for additional information and images.* ****1)** Navigate to the [**Locations page**](/doc/docs/locations-page)**.**** **A)** Open the **Admin** application. **B)** Expand the **Locations & legal entities category**. **C)** Select **Locations.** ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-H587I98S.png?sv=2026-02-06&spr=https&st=2026-10-27T15%3A47%3A23Z&se=2026-10-27T16%3A47%3A23Z&sr=c&sp=r&sig=kW6lwLthiKcb9hgAce%2BQS8qZSPqEf3r5vHjgutUvqzw%3D) ****2)** Click **Create.**** ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-OQBJ6LZA.png?sv=2026-02-06&spr=https&st=2026-10-27T15%3A47%3A23Z&se=2026-10-27T16%3A47%3A23Z&sr=c&sp=r&sig=kW6lwLthiKcb9hgAce%2BQS8qZSPqEf3r5vHjgutUvqzw%3D) ****3)** Enter the **required fields.**** The required fields are: 1. Location records can be created using the Restaurant365 [Setup Assistant](/doc/docs/r365-setup-assistant). If the Location record being added will be a POS-integrated location, submit an [R365 add-on form](https://forms.monday.com/forms/e6450fc8d747df62ad7e9fa5b32dabd6?r=use1) to begin the process of enabling polling for the location. Once polling has been enabled, update the [POS integration settings](/doc/docs/pos-integration-settings-location-record) on the Location record. Once the desired Location record is created, the location can be configured for use in Accounting and Operations. Please refer to the [Add a New Location](/doc/docs/add-a-new-location) article to learn more about creating a Location record, establishing polling, and configuring the location for use in Accounting and Operations. --- ## Enabling a New Location for R365 Payroll After the Location record is created, it will need to be connected to R365 Payroll. Follow this checklist to enable the location for R365 Payroll: - [ ] Confirm that the [legal entity](/doc/docs/legal-entity-record) for the location is **enabled for R365 Payroll**. > [!WARNING] > If the legal entity is not enabled for R365 Payroll, please contact your CSM to discuss [enabling the legal entity for R365 Payroll](/doc/docs/workforce-enable-a-legal-entity-for-workforce). > The following payroll settings are associated with the location's legal entity and apply to [pay runs](/doc/docs/workforce-pay-runs-overview) associated with the location: > > - [Payroll Common Payer](/doc/docs/payroll-common-payer) > - [Include Tips in Payroll](/doc/docs/legal-entity-record) > - [GL Account Mapping](/doc/docs/workforce-settings-gl-account-mapping) > - [Print and Ship (If enabled)](/doc/docs/r365-payroll-print-ship-paychecks) > - [Fiscal/Operational Calendar](/doc/docs/fiscal-calendar) > > The location's legal entity will determine the [payroll company](/doc/docs/workforce-setup-payroll-companies-and-payroll-clearing-settings) for the location. The following payroll settings are associated with the payroll company and apply to all [pay runs](/doc/docs/workforce-pay-runs-overview) associated with the location: > > - [Funding Account](/doc/docs/workforce-settings-account-page) > - [Pay Cycle](/doc/docs/workforce-settings-account-page) > - [Tax Contact](/doc/docs/workforce-settings-company-tax-profile) > - [Holiday Policy](/doc/docs/workforce-policies) --- ## Setting up a New Location for use in R365 Payroll Once the desired location has been enabled for use in R365 Payroll, labor setup, tax setup, and employees associated with the location should be reviewed. Follow these steps to set up the new location: **Tax Setup:** - [ ] Confirm that the [jurisdictions and tax filing frequencies](/doc/docs/workforce-tax-filing-setup) for the location have been added to the [Company Tax Profile](/doc/docs/workforce-settings-company-tax-profile). It is the responsibility of the payroll company to supply R365 with accurate SUI rate information. **Labor Setup:** - [ ] Add the location to [**R365 overtime rules**](/doc/docs/admin-page-overtime-rules) and other [**labor rules**](/doc/docs/labor-rules-overview). - [ ] Review [**Job records**](/doc/docs/smart-ops-job-records) and configure them as needed for payroll. - [ ] Review [**SOC codes**](/doc/docs/soc-codes-overview) on Job Records for the location. Some states require SOC codes for SUTA reporting and other unemployment compliance filings. Confirm that each Job Record associated with the location has the correct SOC code assigned. **Employee Setup:** - [ ] [**Merge Employee records**](/doc/docs/merge-employee-records) for employees who work at multiple locations. - [ ] [**Create Employee records**](/doc/docs/workforce-creating-employee-records) for **salaried employees** who do not already have an Employee record. - [ ] [**Add salary jobs**](/doc/docs/workforce-employee-records-adding-and-editing-jobs) to salaried employees. - [ ] Confirm that all **fields required for payroll** are complete on all Employee records associated with the location: - [Basic Info tab](/doc/docs/workforce-employee-records-basic-info-tab) - First Name - Last Name - Phone Number - Email - [Employment tab](/doc/docs/workforce-employee-record-employment-tab) - Hire Date - Job Assigned - FLSA Status - Employment Type (Full Time/Part Time) - [Time tab](/doc/docs/workforce-employee-record-time-tab) - Expected Weekly Hours - [ ] **Grant** [**mobile app**](/doc/docs/employee-app-access2) **access** to employees who do not have app access. - [ ] [**Onboard**](/doc/docs/workforce-onboarding-an-employee-to-r365-payroll) employees to Payroll. - [ ] Add [**deductions**](/doc/docs/workforce-employee-records-deductions-and-benefits-details-sidesheet) to Employee records. - [ ] Add [**PTO accrual rules**](/doc/docs/pto-accruals-overview) to employees.
