AI Scheduler leaves existing shifts on the week unchanged and suggests only missing shifts. After generation, shift suggestions appear on the Schedule Calendar as purple pending cards for managers to review. A manager approves, edits, or deletes suggested shifts individually or in bulk before publishing the schedule. --- ## Security Users must have the following permission to generate and review AI shifts: - Labor → Scheduling → Schedule → Add/Edit/Delete Shifts These permissions can be added to [custom user roles](https://restaurant365.us.document360.io/doc/docs/custom-user-roles) or [individual users](https://restaurant365.us.document360.io/doc/docs/users-overview-and-security). The [Permission Access report](https://restaurant365.us.document360.io/doc/docs/generating-a-permissions-access-report) can be used to determine which user roles or users already have these permissions assigned. For more information, see [User Setup and Security](/doc/docs/user-setup-security-and-location-access). --- ## Generate an AI-suggested schedule Follow these steps to generate AI-suggested shifts: *Click steps to expand for additional information and images.* ****1)** Navigate to the [Schedule Calendar page](/doc/docs/schedule-calendar) and click the **Build with AI button.**** 1. Shifts can be added or adjusted manually while AI suggestions are being generated. --- ## Review AI-suggested shifts After generation completes, the AI schedule panel shows how many pending shifts are ready to review and how many could not be filled. Each pending shift appears on the timeline with a star badge. A shift that violates a labor rule shows a warning triangle beside its duration; pointing to the triangle shows the violated labor rule, and an overtime violation also shows the added hours. A shift that could not be matched to an employee appears as a distinct warning-toned card. Pending suggested shift cards are fixed in position and size. To review AI-suggested shifts, managers have the following options: 1. **Approve**, **Edit**, or **Delete** an individual shift 2. **Approve shifts** — approves all pending suggestions 3. **Delete shifts** — deletes all pending suggestions 4. **Regenerate shifts** — replaces all pending suggestions ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-EUA7KK5E.png?sv=2026-02-06&spr=https&st=2026-10-28T15%3A50%3A05Z&se=2026-10-28T16%3A50%3A05Z&sr=c&sp=r&sig=X%2BHtw1g8SPdBkACgB2RzwSvJw1e7fdq2CmX43ZCLnGU%3D) **Hover** over a **pending shift card** to see the actions for that shift: ****Approve** a suggested shift** Click the **Approve** (checkmark) icon. ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-55WGJTYU.png?sv=2026-02-06&spr=https&st=2026-10-28T15%3A50%3A05Z&se=2026-10-28T16%3A50%3A05Z&sr=c&sp=r&sig=X%2BHtw1g8SPdBkACgB2RzwSvJw1e7fdq2CmX43ZCLnGU%3D) What happens next depends on the shift: - A shift with no labor rule violation is approved immediately, and a "Shift created" confirmation appears. ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-2JKXIA2T.png?sv=2026-02-06&spr=https&st=2026-10-28T15%3A50%3A05Z&se=2026-10-28T16%3A50%3A05Z&sr=c&sp=r&sig=X%2BHtw1g8SPdBkACgB2RzwSvJw1e7fdq2CmX43ZCLnGU%3D) - A shift with a labor rule violation opens a confirmation dialog showing the labor rule cost, with an option to confirm the approval despite the violation. - If the shift is no longer eligible for approval, an error appears and the shift stays pending. - If approval otherwise fails, a generic error appears and the shift stays pending. > [!NOTE] > Approved shifts are added as unpublished. Publish the schedule to notify employees when ready. ****Edit** and approve a suggested shift** Double-click the shift to open the [shift details](/doc/docs/scheduling-shift-details-form), with the AI-suggested employee, job, and times filled in. ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-UYUINWFX.png?sv=2026-02-06&spr=https&st=2026-10-28T15%3A50%3A05Z&se=2026-10-28T16%3A50%3A05Z&sr=c&sp=r&sig=X%2BHtw1g8SPdBkACgB2RzwSvJw1e7fdq2CmX43ZCLnGU%3D) [Edit the shift](/doc/docs/create-or-edit-shifts#edit-a-shift) as needed and click **Save**. > [!NOTE] > Edited shifts are added as unpublished. [Publish the schedule](/doc/docs/schedule-calendar-publish-unpublish-and-alert-employees) to notify employees when ready. ****Delete** a suggested shift** Click the **Delete** (trash) icon. ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-XMJN4772.png?sv=2026-02-06&spr=https&st=2026-10-28T15%3A50%3A05Z&se=2026-10-28T16%3A50%3A05Z&sr=c&sp=r&sig=X%2BHtw1g8SPdBkACgB2RzwSvJw1e7fdq2CmX43ZCLnGU%3D) The system removes the suggestion from the timeline. **Bulk approve, delete,** or **regenerate all** **pending shift**s from the AI schedule panel: ****Approve all pending suggestions**** Click **Approve shifts** in the AI schedule panel. If no pending suggestion violates a labor rule, the shifts are approved and a confirmation appears. If any suggestion violates a labor rule, a batch summary dialog opens. It shows how many suggestions have no warnings, then lists each flagged suggestion with the labor rule it violates. Choose one of the following: - **Approve all** — approves every suggestion in the batch, including flagged and unfilled ones. - **Skip flagged** — approves only the suggestions with no warnings and leaves the flagged ones as pending suggestions. - **Cancel** — closes the dialog without approving anything. Nothing is saved to the schedule until one of these is selected. > [!NOTE] > Approving shifts in bulk includes any unfilled suggestions. Each one becomes an open, unassigned shift on the schedule and needs either an employee assignment or deletion. ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-WUIYIAEJ.png?sv=2026-02-06&spr=https&st=2026-10-28T15%3A50%3A05Z&se=2026-10-28T16%3A50%3A05Z&sr=c&sp=r&sig=X%2BHtw1g8SPdBkACgB2RzwSvJw1e7fdq2CmX43ZCLnGU%3D) ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-JP711AJD.png?sv=2026-02-06&spr=https&st=2026-10-28T15%3A50%3A05Z&se=2026-10-28T16%3A50%3A05Z&sr=c&sp=r&sig=X%2BHtw1g8SPdBkACgB2RzwSvJw1e7fdq2CmX43ZCLnGU%3D) If any pending suggestion has a labor rule violation, a batch summary dialog opens. Unfilled shifts are included in the dialog's total count but are not listed as their own row in the flagged list. > [!WARNING] > The pending shift panel guidance says to assign an employee or delete an unfilled shift. Approving shifts in bulk still includes unfilled shifts in the approved count, and approving one converts it to an open, unassigned shift rather than assigning an employee. ****Regenerate AI shifts**** > [!WARNING] > Regenerating replaces all current AI suggestions. Any pending suggested shifts that have not been **approved** or **deleted** will be removed. 1. In the AI schedule panel, click **Regenerate shifts**. ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-82YP2FRD.png?sv=2026-02-06&spr=https&st=2026-10-28T15%3A50%3A05Z&se=2026-10-28T16%3A50%3A05Z&sr=c&sp=r&sig=X%2BHtw1g8SPdBkACgB2RzwSvJw1e7fdq2CmX43ZCLnGU%3D) 1. The **Regenerate schedule?** dialog shows how many existing AI suggestions will be removed. 2. Select which days to include, **Full week** or **Specific days** (current and future days only). 3. Click **Regenerate week/day(s)**. ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-4FMZ08RY.png?sv=2026-02-06&spr=https&st=2026-10-28T15%3A50%3A05Z&se=2026-10-28T16%3A50%3A05Z&sr=c&sp=r&sig=X%2BHtw1g8SPdBkACgB2RzwSvJw1e7fdq2CmX43ZCLnGU%3D) The system removes all current pending shift suggestions and starts a new generation run. ****Delete all AI suggestions**** To remove all pending AI shift suggestions without approving any: 1. In the AI schedule panel (review mode), click **Delete shifts**. ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-8BN6PBOJ.png?sv=2026-02-06&spr=https&st=2026-10-28T15%3A50%3A05Z&se=2026-10-28T16%3A50%3A05Z&sr=c&sp=r&sig=X%2BHtw1g8SPdBkACgB2RzwSvJw1e7fdq2CmX43ZCLnGU%3D) 1. *Optional*: In the confirmation dialog, enter feedback about why the AI-suggested shifts didn’t work. Feedback will help improve future schedules. 2. Click **Delete shifts** to confirm the deletion. ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-X306KVV9.png?sv=2026-02-06&spr=https&st=2026-10-28T15%3A50%3A05Z&se=2026-10-28T16%3A50%3A05Z&sr=c&sp=r&sig=X%2BHtw1g8SPdBkACgB2RzwSvJw1e7fdq2CmX43ZCLnGU%3D) The system removes all AI-suggested shifts from the timeline and the AI schedule panel closes. --- ## Publishing a schedule with pending AI shifts Publishing a schedule that still has pending AI suggestions approves those suggestions first, then publishes the schedule. Any suggestion that could not be filled becomes an open, unassigned shift as part of that approval. The publish dialog includes an **Include # unassigned shifts** option, with a count of the unassigned shifts involved. On the Employee tab, the count covers all pending unfilled suggestions. On the Job and Department tabs, it covers only those for the selected job. - Select the option to publish those open shifts along with the rest of the schedule. - Leave it unselected to publish only the assigned shifts. The open shifts remain on the schedule, unpublished, until they are filled or deleted. Approved AI shifts publish through the normal publish flow and need no special handling. **To avoid approving unreviewed suggestions, delete them before publishing.** In the AI schedule panel, click **Delete shifts**. Publishing will otherwise approve every pending suggestion still on the timeline. ![](https://cdn.us.document360.io/5c9d1111-0c69-4e96-8910-d7f2750fdc9d/Images/Documentation/image-MUSWZBER.png?sv=2026-02-06&spr=https&st=2026-10-28T15%3A50%3A05Z&se=2026-10-28T16%3A50%3A05Z&sr=c&sp=r&sig=X%2BHtw1g8SPdBkACgB2RzwSvJw1e7fdq2CmX43ZCLnGU%3D) --- ### FAQ #### The Build with AI button is not showing up — what do I do? The **Build with AI** button requires the **Labor → Scheduling → Schedule → Add/Edit/Delete Shifts** permission. If the permission is in place but the button is still not visible, AI Scheduler may not be enabled for the account. Contact a Customer Success Manager (CSM) or R365 administrator to have it turned on. [Learn more about the Schedule Calendar toolbar.](https://help.restaurant365.com/en/article/schedule-calendar) #### Will regenerating remove the shifts I already approved? No. Regenerating only removes pending (unapproved) AI-suggested shifts — shifts already approved are not affected. The **Regenerate schedule** dialog shows exactly how many pending suggestions will be removed before confirming. After regenerating, a new set of suggestions replaces the previous ones. [Learn more about the Schedule Calendar.](https://help.restaurant365.com/en/article/schedule-calendar) #### I approved all my AI-suggested shifts — will employees see them now? Not yet. Approved AI shifts are added to the schedule as unpublished shifts and work just like shifts added manually. Employees will not see them until the schedule is published and employees are alerted. Learn more about how to [Publish or Unpublish Schedules](https://help.restaurant365.com/en/article/schedule-calendar-publish-unpublish-and-alert-employees). #### Why does a shift show a warning triangle, and what does the labor rule label mean? The warning triangle indicates the suggested shift violates a labor rule. Pointing to the triangle shows the name of the violated rule. A shift that adds overtime also shows the number of added hours in the tooltip. #### Why do some flagged shifts show an hours figure and others only show a rule name? Only overtime violations show an hours figure. Every other labor rule shows the rule name alone. #### What does a warning-toned card mean? A warning-toned card is an unfilled shift, a suggestion that could not be matched to an employee. Unfilled shifts remain part of the pending count and can be approved individually or in bulk; approving one creates an open, unassigned shift. ## Related - [Publish or Unpublish Schedules](/schedule-calendar-publish-unpublish-and-alert-employees.md) - [Schedule Calendar](/schedule-calendar.md) - [AI Shift Assist](/ai-shift-assist.md)
